We currently collect and process the following information:
Identifier data: Customer names, title.
Contact details: Addresses, email addresses, phone numbers.
Profile image data: If you choose to upload and update a profile image.
Location details: Location pins on the app and website to determine your delivery location.
Communication data: Correspondence from you via email, post or social media platforms.
Order information: Previous orders, quantities, frequencies.
Technical usage data: Type of device used, frequency, timings, durations, IP address.
Most of the personal information we process is provided directly by you for one of the following reasons:
To manage your customer account with regard to your orders.
To enable us to deliver to your chosen address.
To enable us to communicate with you.
To enable us to plan stock forecasts, sales performance and manage the range and offering based on previous sales data.
In some cases, we may also receive personal information indirectly, for example where we acquire another delivery business and continue providing service to its customers.
We do not share any personal information with any third parties apart from if legally required (e.g. law enforcement) or if the third party is providing a professional service for Milk Club (e.g. accountants, lawyers, auditors and insurers).
We do not handle or store customer credit card details. This is handled by Elavon Opayo, a secure payment gateway. They do not provide Milk Club with your credit card details. Payment is processed via their platform, and they provide us with a unique token number for each customer which we use to pass on details of payments to be made.
Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:
Contract – to deliver your orders and manage your account.
Legitimate interests – to plan stock, improve our service and manage our business operations.
Consent – for optional features such as uploading a profile image or receiving marketing communications. You are able to withdraw your consent at any time by contacting orders@milk.club.
Your information is securely stored at all times.
We keep the data supplied by you for 6 years after you cease being a customer, in line with legal and regulatory requirements (for example, HMRC record-keeping).
Under data protection law, you have rights including:
Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the right to object to the processing of your personal information in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
